Introduction

You are responsible for the rental vehicle until the vehicle and its keys are returned to an Arnold Clark Car & Van Rental staff member during branch opening hours.

Airport out-of-hours collections and returns are available only with prior notice (charges apply). Returning a vehicle to an airport without prior consent may incur retrieval charges.

Our online check-in service allows you to confirm your driving licence details and DVLA check code before you arrive at the branch. You will receive your check-in email 7 days before your rental begins, or, if your hire starts sooner, you'll receive your check-in email shortly after placing your reservation.

Normal terms and conditions of rental apply at all times. All rates include VAT, insurance and breakdown recovery, and are subject to availability.

Generous Mileage

Enjoy 250 miles free per day for all hires. Booking for four days or more? You'll receive unlimited mileage, capped at 2,500 miles in any 28-day period.

Insurance

Enjoy peace of mind with insurance included as standard on every hire. If you'd like extra reassurance, you can add an excess waiver to reduce or remove excess charges in the event of damage.

Roadside Assistance

Feel confident on every journey with roadside assistance included. If you experience a breakdown or accident, our roadside support team will get you moving again as quickly as possible.

Terms of Hire for Vehicles

Car hire

  • Minimum hire period: 1 hour.
  • Please note that hourly car rentals can only take place within office opening hours.
  • Includes VAT and insurance.
  • For rentals up to 3 days: 250 miles per day are included free of charge, with additional mileage charged at 10p per mile.
  • For rentals of 4 days or more: mileage is unlimited, capped at 2,500 miles in any 28-day period.
  • For longer term rentals (typically 28 days or more): 2,500 miles are included free of charge, with additional mileage charged at 10p per mile.

Van hire

  • Minimum hire period: 1 hour.
  • Please note that hourly van rentals can only take place within office opening hours. Hourly rentals are not available for one-way hire.
  • Includes VAT and insurance.
  • For rentals up to 3 days: 250 miles per day are included free of charge, with additional mileage charged at 10p per mile.
  • For rentals of 4 days or more: mileage is unlimited, capped at 2,500 miles in any 28-day period.

Driver Requirements

  • Minimum driver age: 23 years old.
  • All drivers must hold a full, valid driving licence for at least 1 year.
  • Penalty points must be notified: Please contact us.
  • Acceptance of licence endorsements is at branch discretion.

Young Drivers (under 25)

There are additional conditions for drivers under the age of 25:

  • Young drivers may hire up to and including: SUV category vehicles, automatics, electric vehicles, estates, and vans.
  • A young driver surcharge of £25 per rental day applies. For standard rentals up to 24 hours, the full £25 charge is applied. For bookings made using our Hourly Hire option, the young driver surcharge is applied on a pro-rata basis, calculated according to the number of hours hired.

Collecting Your Vehicle: What to Bring

Drivers of all rental vehicles must bring their booking reference number from their confirmation email, as well as the following documentation:

UK Licence Holders

  • Valid physical driving licence (original copy only). Customers with an original paper licence must also bring photographic ID.
  • Two additional forms of identification, one of which must include proof of address. This can be two bills or one bill and another form of photographic ID, preferably a passport. Acceptable documents include utility bills and bank or credit card statements issued within the last three months. Digital copies are accepted, including documents shown on a mobile device.
  • Access code from the DVLA (excluding Northern Ireland licence holders). You can acquire this from the DVLA's online Share Driving Licence system.
  • Credit or debit card in the driver's name (physical copy only, we may carry out an identity check).

Northern Ireland licence holders must present both the card part of their licence and its paper counterpart or provide a DVA code (you can acquire this from the DVA's online Share Driving Licence system).

EU Licence Holders

  • Physical driving licence. We are unable to accept digital driving licences; you must present either a physical copy or an International Driving Permit (IDP).
  • Passport or national ID card.
  • Credit or debit card in the driver's name (physical copy only, we may carry out an identity check).
  • EU licence holders who are residents in the UK must bring proof of UK address. This can be two bills or one bill and another form of photographic identification, preferably a passport. Acceptable documents include utility bills and bank or credit card statements issued within the last three months.

Drivers from outside the EU

  • Domestic driving licence with an English translation. If the English translation is not available, an International Driving Permit (IDP) is required in addition to a domestic driving licence.
  • Passport.
  • Credit or debit card in the drivers own name (physical copy only, we may carry out an identity check).
  • Proof of arrival date (boarding pass, flight ticket, or stamped passport).

Payment and Deposits

We can only guarantee a vehicle once we receive payment in full. If you extend your hire and fail to make payment on time, you may be charged an administration fee.

We accept most major debit and credit cards including Mastercard, Visa Credit, and Visa Debit. Payment can also be made via PayPal, Apple Pay, or Google Pay. We do not accept pre-paid credit cards or cash.

When collecting your vehicle, you must present a physical, valid credit or debit card in your name to confirm the payment details you provided, even if the payment was made online using Apple Pay or Google Pay.

Deposits: Some branches may require a refundable security deposit of up to £150. For executive vehicle hire, a £500 deposit is required. For luxury vehicle hire, a £1000 deposit is required. Deposits are payable in-branch by credit or debit card.

Cancellations, Amendments and Refunds

You may cancel your booking free of charge if you give over 72 hours' notice before your scheduled pick-up time. Refunds will be returned to your original payment method within 3-5 working days.

If you cancel your booking within 72 hours of the scheduled pick-up time, you will incur a £50 cancellation fee, or no refund where the total rental cost is less than £50. A refund guarantee is available to purchase, allowing you to cancel your booking at any time including up to the start of your hire, and receive a full refund less the £10 refund guarantee fee.

No refund will be provided if you fail to cancel your booking and do not collect your vehicle.

Amendments are subject to availability and any difference in rate.

Fuel

Our rental vehicles run on either unleaded or diesel fuel.

All vehicles are supplied with a full tank of fuel, and it is the customer's responsibility to refill the vehicle at the end of the rental period. If the vehicle is returned with insufficient fuel, charges will apply at current pump prices plus a £10 refuelling surcharge.

You may alternatively pre-purchase a full tank of fuel, return the vehicle empty, and we'll do the refilling for you. Any unused fuel will not be refunded. This can be arranged in branch when you collect your vehicle.

If your keyring displays an AdBlue tag, please refer to your vehicle handbook or rental branch for further guidance.

Electric

We now have electric vehicles available to rent. All electric vehicles will be charged when you collect them from branch.

Customers are responsible for making sure the vehicle is returned to us with the same amount of charge to avoid additional costs.

Driving Outside the UK

Outside of the UK, customers can only take a rental car to the Republic of Ireland. Travel is not permitted to any other European country. Cars can only be taken with prior arrangement, and customers must provide at least 1 week's notice to allow the branch to arrange the correct paperwork. Additional charges will apply.

When travelling to the Republic of Ireland, customers are responsible for arranging travel insurance for passengers and must arrange their own European breakdown cover for the vehicle, including repatriation. This must be presented to the branch before the start of the hire.

Vans are not permitted to be taken beyond the UK mainland.

Regulations for driving vehicles abroad are often changing. Drivers are responsible for ensuring that they comply with all local laws and requirements, including any mandatory travel kits.

Transporting Items

Please protect the vehicle interior from damage and dirt.

If pets are transported, please ensure that all traces of animal hair are removed and odours neutralised before returning the vehicle. Charges will apply for valeting, repair, odour treatment, and loss of rental revenue where the vehicle is returned in a condition unfit for rehire.

The transportation of hazardous chemicals is strictly prohibited.

Dual Control Hire

Normal terms of hire apply at all times. All dual control cars include dual pedals, L-plates, high-visibility graphics and an additional internal mirror.

Learner drivers

  • Must be 17 years old or over.
  • Must hold a clean, current UK provisional licence.
  • Must be accompanied at all times by a qualified driver.

Learners may be 16 years old if they have a disability or a long-term health condition.

Accompanying drivers

  • Must be 23 years old or over.
  • Must have held a full UK or EU driving licence for at least 3 years.
  • Must be qualified to drive the type of vehicle being driven by the learner (i.e. they must have a manual licence if they are accompanying a learner in a manual car).

Certain licence endorsements may be accepted for both provisional and full licence holders, please contact us for details.

Both the learner and accompanying driver must be present at vehicle collection with their licences. Additional passengers should not be carried while the learner driver is under tuition.

Your Rental

  • Minimum hire period: 1 hour
  • Maximum hire period: 4 hours
  • Mileage, fuel, VAT and insurance are included.
  • An additional £10 per hire will be charged for accompanying drivers aged 23-24.

Dual Control Hire: What to Bring

  • Physical driving licence (both the UK provisional for the learner and the EU or UK licence for the accompanying driver).
  • Access code from the DVLA (you can acquire this from the DVLA's online Share Driving Licence system).
  • Physical, valid credit or debit card.
  • Proof of address from the provisional driver. Acceptable documents include utility bills and bank or credit card statements issued within the last three months. Digital copies are accepted, including documents shown on a mobile phone. When a parent and child are hiring and the provisional driver is struggling to provide proof of address, we are happy to accept the proof of address from the parent instead.

Driving Tests

If you plan to sit your practical test with a dual control car, we recommend that you hire a dual control car for at least 1 hour on a previous day to check licence details and to familiarise yourself with the vehicle. Please let us know that you require the car for your test at the time of booking with us.

Passengers cannot be carried in the learner car during lessons; however, the full licence holder can sit in the back of the car during a driving test.

Approved Driving Instructors

If you are a qualified driving instructor, our cars are available to hire for professional use based on a 24-hour period. In these cases, instructors must provide their own insurance to cover the vehicle.

Please note

  • If you currently hold a full manual UK licence, you can only be an accompanying driver and you are unable to rent dual control vehicles for driving practice.
  • Learner drivers are allowed to drive on the motorway only if they are accompanied by an approved driving instructor.
  • Non-EU full licence holders who have exchanged their licence after 12 months and now hold a UK provisional licence must be accompanied at all times by a qualified driver aged 23 or over.
  • Insurance is provided for both the learner and the accompanying driver; however, this insurance does not cover Hire and Reward. This means that qualified driving instructors cannot accompany learner drivers in a professional capacity when the learner hires a dual control car.

You may cancel your booking free of charge before your scheduled hire and receive a full refund. Refunds will be returned to your original payment method within 3-5 working days. No refund will be provided if you fail to cancel your booking and do not collect your vehicle.

Luxury Car Hire

Luxury car hire is available at our Glasgow Airport, Edinburgh Airport, and Inverness branches. A deposit of £1000 is required for luxury car hire.

Drivers of luxury cars must be at least 25 years old at the time of booking.

Normal terms of hire apply at all times.

Your Rental

  • Minimum hire period: 2 days
  • Maximum hire period: 28 days
  • For rentals up to 3 days: 250 miles per day are included free of charge, with additional mileage charged at 10p per mile.
  • For rentals of 4 days or more: mileage is unlimited, capped at 2,500 miles in any 28-day period.
  • Additional drivers will be charged at a rate of £20 per day.

An excess of £3,000 will be charged for any vehicle damage. This is reducible to £1,000 with a £25 per day excess waiver.

Cancellations

You may cancel your booking free of charge if you give at least 72 hours' notice before your scheduled pick-up time. Refunds will be returned to your original payment method within 3-5 working days. If you cancel your booking within 72 hours of the scheduled pick-up time, you will incur a charge of 1 day hire.

Vehicles may be booked by category only.

Models shown and all descriptions are for general guidance only. While every effort is made to meet customer preferences, Arnold Clark can only guarantee the category reserved unless a specific model has been formally confirmed. Please note that not all vehicle groups or models are available at all Arnold Clark locations.

Offers and Promotions

Offers and promotions are valid only for the promotional period stated and are subject to availability and additional terms.

Proof of eligibility may be required. Failure to provide valid proof of eligibility may result in removal of the discount.

Bookings beyond the valid dates of a promotion will not be eligible for the stated promotional prices or offers.
